Event Cancellation & Refund Policy
We value the time and commitment of every participant who joins our events. We understand that schedules can change, and we aim to provide flexibility while maintaining fairness and respect for our facilitators, venues, and preparation time.
This Cancellation & Refund Policy applies to all workshops, retreats, forums, and masterclasses hosted by The IMAGE Firm, whether held in person or online.
1. Participant Cancellations
- More than 14 days before the event:
Cancellations made at least 14 days prior to the event date will be credited, minus any processing or payment gateway fees. - 7–13 days before the event:
Cancellations made within 7–13 days before the event are eligible for a 50% refund or a credit transfer to a future event of equal value. - Less than 7 days before the event / No-show:
No refunds will be issued for cancellations made less than 7 days before the event or for no-shows. However, we may allow you to transfer your ticket to another participant upon written request. - Virtual events:
For online sessions, refunds follow the same schedule. Please ensure your internet connection and setup are stable, as The IMAGE Firm is not responsible for connection issues on the attendee’s side.
2. Event Postponement or Cancellation by The Image Firm
In rare cases, The IMAGE Firm may need to reschedule or cancel an event due to unforeseen circumstances (e.g., facilitator illness, venue changes, or government restrictions).
If this happens:
- You will be notified promptly via email and/or phone.
- You may transfer your registration to the rescheduled date or request a credit (including processing fees).
The IMAGE Firm is not liable for any additional costs incurred by participants (such as travel or accommodation) due to event changes.
3. Ticket Transfers & Substitutions
If you are unable to attend, you may transfer your ticket to another individual by notifying us in writing at least 48 hours before the event.
Please include the new attendee’s full name, email address, and contact number.
4. Retreats & Multi-Day Events
For events that include accommodation or catering (e.g., the Professional Wellbeing & Resilience Retreat), cancellations must be made at least 21 days before the start date to receive a full refund.
After that, only partial refunds or credit transfers may be considered, depending on hotel and vendor policies.
5. How to Request a Cancellation
To cancel or modify your registration:

- Your full name
- Event name and date
- Ticket type and booking reference
- Reason for cancellation
Our team will respond within 3–5 business days to confirm your refund or transfer.
6. Force Majeure Clause
The IMAGE Firm is not responsible for non-performance or event cancellation due to circumstances beyond our control (including natural disasters, strikes, health emergencies, or travel bans). In such cases, we will work with participants to offer a suitable alternative date or digital format.
7. Agreement
By purchasing a ticket or registering for an event, you acknowledge that you have read and agree to The IMAGE Firm’s Event Cancellation & Refund Policy.
